Customer Service, Logistics & Invoicing (Intern)

The role will support the department by performing administrative, customer service, documentation, and data-entry tasks that enhance operational efficiency. The role reduces workload pressure on Executives, supports faster turnaround of core processes, and contributes to a more seamless customer experience.


Responsibilities

Customer Service Support:

• Send templated email acknowledgements for incoming customer communications..

• Assist in answering and logging customer follow-up calls.

• Support communication of delivery timelines through guided calls or emails.

• Help maintain accurate customer interaction logs.

Invoicing Support:

• Assist in preparing picking slips, delivery notes, and invoice document packs.

• Upload validated documents into ERP or shared systems.

• Print, bind, file, and archive invoicing documentation.

• Help prepare dispatch envelopes for customers.

Work Ticket & Documentation Support:

• Update daily work tickets (RRWC, NEW, RRNC) under Executive supervision..

• Track ticket status and flag pending items to the Team Lead.

• Assist with documentation audits and corrections.

Logistics & Dispatch Support:

• Assist in dispatch preparation tasks..

• Help maintain and update returned delivery note (DN) files.

• Support stock reconciliation through data entry and logging.

• Aid in confirming dispatch readiness with the team.

Data Entry & Trackers:

• Maintain daily trackers: invoicing, email turnaround, call logs, tickets, and dispatch.

• Assist in preparing daily and weekly reports used by management.

• Digitize and organize customer and logistics documents.

General Administrative Support:

• Maintain organized filing systems (digital + physical).

• Prepare departmental materials — files, labels, stationery.

• Support any special tasks assigned by the Team Lead or Manager.


Person Specifications

Academic Qualifications

• Bachelor’s degree in business administration, Communication, Supply Chain, Logistics, Customer Service, or related field. No prior experience required (internship/attachment experience in a fast-paced customer service environment (Manufacturing or FMCG preferred) is an added advantage.

Skills (Technical & Soft Skills):

• Professional communication (phone and email). Willingness to learn and take direction. High integrity and confidentiality. Strong teamwork and adaptability. Ability to multitask in a high-volume environment.


Strong preferences will be given to candidates with the requisite qualifications, skills and experience.
