The People and Culture Officer is a key member of the team responsible for supporting all human resources and cultural initiatives. This role focuses on enhancing the employee experience throughout the entire employment lifecycle, from recruitment and onboarding to development and off-boarding. The ideal candidate will be a proactive, empathetic individual with a strong understanding of Kenyan labor laws and a passion for creating a positive, productive, and inclusive workplace.


Key Responsibilities:

1. Talent Acquisition & Onboarding

  • Assist in the end-to-end recruitment process, including drafting job descriptions, posting advertisements on relevant platforms, and screening resumes.

  • Coordinate and schedule interviews and serve as the main point of contact for candidates.

  • Facilitate a seamless onboarding and induction process for new employees, ensuring they are well-integrated into the company and its culture.

2. Employee Relations & Culture

  • Serve as the first point of contact for employee inquiries and grievances, providing a confidential and supportive resource.

  • Promote and uphold a positive company culture that aligns with the company's values.

  • Organize and support employee engagement and wellness activities, such as team-building events, workshops, and recognition programs.

  • Mediate conflicts and provide guidance to managers and employees on a variety of workplace issues.

3. HR Administration & Compliance

  • Maintain accurate and up-to-date employee records, both physical and digital, in compliance with data protection and privacy laws.

  • Assist in the preparation and processing of payroll, ensuring all statutory deductions (PAYE, NSSF, SHIF) are accurate and submitted on time.

  • Ensure the company's HR policies and procedures are consistently implemented and compliant with all relevant Kenyan labor laws.

  • Process employment-related documentation, including contracts, offer letters, and termination letters.

4. Performance & Development

  • Support the performance management process by tracking review cycles and providing administrative assistance to managers.

  • Assist in identifying training and development needs across the organization and help coordinate relevant programs.

  • Track key HR metrics, such as employee turnover, recruitment timelines, and engagement scores, to inform data-driven decisions.

5. Reporting & Auditing

  • Generate and maintain reports on key HR metrics, including leave liability, employee turnover, and overtime.

  • Prepare and present ad-hoc reports as requested by management for strategic decision-making.

  • Assist in preparing documentation and data for internal and external audits, ensuring all records are accurate and accessible.

Person Specifications

Academic Qualifications

  • Bachelor's Degree in Human Resource Management, Business Administration, or a related field.

  • Higher Diploma in HR or a related field.

  • Membership with the Institute of Human Resource Management (IHRM) in Kenya is highly preferred.

Experience

  • A minimum of 5 years of experience in a similar HR or People & Culture role.


Skills and Attributes

Technical Skills:

  • HR Information Systems (HRIS): Proficiency in using HR software to manage employee data, payroll, and benefits.

  • Data Analysis and Reporting: Ability to collect, analyze, and interpret HR data to generate reports on metrics like employee turnover, leave liability, and recruitment efficiency.

  • Kenyan Labor Law and Compliance: A strong, practical understanding of the Employment Act, 2007, and other relevant labor laws, as well as statutory obligations for PAYE, NSSF, and SHIF.

  • Proficiency in Microsoft Office/Google Workspace: Strong skills in tools like Excel/Sheets

    for data management and analysis, and Word/Docs for document creation.

Soft Skills:

  • Communication: Excellent written and verbal communication skills for interacting with employees at all levels, writing clear policies, and resolving conflicts.

  • Empathy and Emotional Intelligence: The ability to understand and share the feelings of employees, fostering trust and creating a safe space for dialogue.

  • Problem-Solving: The capacity to think critically and provide practical, fair solutions to workplace issues and employee grievances.

  • Confidentiality and Integrity: A high level of discretion is crucial for handling sensitive employee information and maintaining trust.

  • Proactiveness and Adaptability: The ability to anticipate potential issues and adapt quickly to changes in company needs or the business environment.

  • Teamwork and Collaboration: The skill to work effectively with managers, department heads, and employees to implement cultural initiatives and HR policies.
